Junior Executive Assistant

We're looking for a new Junior Executive Assistant to join our fast-paced team and help keep our operations running seamlessly.

About the role

As a Junior Executive Assistant, you will provide support to key stakeholders and the Executive Assistants team by handling administrative tasks, collecting information, approving travel requests, helping with event coordination, and assisting with a variety of daily responsibilities.

This isn’t a traditional assistant role: it requires discretion, curiosity, and a proactive mindset. In this role, you need to be quick to adapt, able to see the bigger picture, and take care of the details that help things run smoothly

What you can expect
Main tasks and responsibilities:
Supporting key stakeholders with processing expense reports and handling other administrative tasks for them.
Collaborating and working closely with the Executive Assistants team with travel bookings, managing and coordinating logistics for internal events and assisting with team projects.
Scheduling meetings, booking rooms, and quickly securing alternate spaces when plans change.
Helping manage and track ongoing tasks and action items.
Assisting with general work related questions and communication.
Handling ad hoc tasks, from collecting specific information to assisting with urgent, time-sensitive needs.
What we expect
About you:
You have 1+ years of experience in a similar administrative or support role and experience with Google Workspace (Docs, Calendar, Meet, Slides, etc.) and Zoom.
You have experience helping to organise meetings, events, or activities.
You have time management and problem-solving skills, with multi-tasking abilities.
You are organised and understand how to prioritize and respond accordingly to be able to handle and process multiple, sometimes competing, requests.
You have a high level of diplomacy and confidentiality, with the ability to tackle very loosely defined problems and deliver an organised output.
You can clearly present your ideas in both written and spoken communication in English and Estonian.
