Executive Assistant

We are looking for an experienced Executive Assistant to join our team and provide proactive, high-level support to our VPs and their leadership teams.Location: Tallinn, Estonia

About the role

The Executive Assistant plays a critical role in supporting VPs and their teams by ensuring administrative tasks and schedules are well-managed. The role involves alleviating scheduling challenges, supporting prioritization and execution of tasks, collecting information, and creating reports as requested by managers. The goal is to facilitate smooth daily operations and effective decision-making for the leadership team.

Main tasks and responsibilities:

Proactively coordinate and support leadership with scheduling, travel, events, and calendar management.
Manage executive communications — filtering, prioritizing, and drafting responses to ensure smooth information flow.
Prepare and format presentations, reports, and documents for leadership meetings.
Track action items and project progress, flagging challenges and proposing solutions to keep initiatives on track.
Organize meetings, conferences, and events — handling logistics, venues, catering, and follow-ups.
Oversee travel arrangements, including flights, accommodation, and itinerary management.
Main tasks and responsibilities:

About you:

You have 3+ years of experience in a similar administrative or support role.
You have experience helping to organise meetings, events, or activities.
You are highly organised, with an ability to manage multiple tasks.
You have excellent communication skills, both written and verbal.
You are detail-oriented and have a strong ability to manage time effectively.
You can maintain a high level of confidentiality and professionalism.
